Customer Policy

Charter Oak Systems conducts its virtual classes in strict accordance with the requirements and guidelines of the Nationwide Mortgage Licensing System.  Our PE and CE course requires that you complete the entire course curriculum in-order to receive credit for the course.  We do not issue partial credit for partial or incomplete course completion.  The course is divided into sections that provide instruction in each of the categories required to satisfy the credit hours required.  Instruction occurs during  individual course segments of one CEU hour of 50 minutes or more.

Online instructor-led (online PE) courses are required to be designed and delivered such that the instructor leads the course with all students through instructor-to-student student-to-student interaction. This interactivity is required to be continual and obvious throughout the entire course. The delivery of an online PE course in a self-study format is prohibited.

Note: The availability of Online Instructor-Led courses is intended to ensure an option exist for individuals where attending a classroom course may be problematic due to geography or lack of availability of a local course provider. The scheduling of these courses is not intended to be a “convenience” option whereby a student can causally work at their own pace or when their schedule allows. Students taking these courses are required to allocate personal/professional time and put forth the same level of effort as would be required to complete a classroom or classroom equivalent course. During the time period in which the course is being offered, instructors are required to hold students accountable for attendance and work, and must be responsive to student’s assignments and questions just as they would be in a physical classroom.

Refunds will not be issued once you sign into the learning management system and register for a course.   You are only required to pay for a course when you intend to start it.  You may not pre-pay for a course.  Once you have paid for a course and accessed the content you may not receive a refund. 

If a student is unable to complete the coursework in the scheduled time or needs to cancel for any reason, the amount paid will be applied to future session of the same course within a one-year period.

Course Cancelation Policy

In the unlikely event that a course is canceled or no longer available, for any reason including insufficient enrollment, you will be given a complete refund or the opportunity to transfer to another like course at no charge.

Privacy Policy

Collecting Information – We collect information such as name, address, telephone number and e-mail address and the NMLS Unique Identifier.

Usage – We use this personal information to deal with your requests such as providing you with information about products, services and orders. The information will not be passed on to any third party unless you have given your consent or there is a legal obligation to do so.

Cookies – This web site does not use Cookies.

IP Address – We may collect your IP (Internet Protocol) address to help administer our Site. An IP address is a number that is assigned to your computer when you use the Internet. This information does not contain any personally identifiable information about you. Your IP address is also used to help identify you during a particular session and to gather broad demographic data.

Links – This Site contains links or references to other Web sites outside of our control. Please be aware that we have no control over these sites and our privacy policy does not apply to these sites.

Education Administration Policies and Procedures

Registration

Students must register and pay with any credit card on-line.  Registrations for any NMLS License session must be made with a valid active NMLS MLO Identifier

Attendance for NMLS License Courses

You will be required to prove your identity by uploading a copy of your driver license.  

You will be required to acknowledge the NMLS Rules of Conduct at the beginning of the course.

You will be required to attend an entire 60-90 minutes session to receive credit for the session. You may take a break for up to 15 minutes during the session by pausing a session.

You must complete the entire program within two weeks (14 days) from the time you begin. 

Once a session commences you may not make phone calls or have a conversation with someone else unless you pause the presentation.  Your phones should be on silent mode.   If you leave the room or are inattentive during the class and do not respond to inquiries you will not be able to complete the session. 

Once a session starts you have enough time to download and print the slide notes sheets and the session outline. You then have time to watch the presentation and take the quiz up to 3 times.  If you do not pass the exam within the time permitted in the session you will be required to restart the session from the beginning.   

You must pay attention and take written notes during the presentation using the documentation worksheets provided.  The presentation will provide you with all the information you need to successfully complete the activities and the session quizzes. 

The presentation requires you to respond at various intervals to simple tasks which require you to pay close attention to the video and audio.  Failure to respond to these cues will cause the session to end.    The cues may only appear on the screen and may not be part of the presentation audio so you must both watch, listen and participate in-order to successfully complete each session. 

Certification will only be provided to those who satisfactorily complete the required number of hours in the virtual classroom and passed all quizzes and the final exam.

Data and Document Retention Policy

The course provider maintains all the processes for the retention of data and documents associated with the delivery of NMLS approved courses. 

Certificate Policy

Certificates are awarded upon completion of all sessions and a passing grade of 75% on the final exam.  NMLS PE and CE credits are only earned after a Certificate is awarded and will be uploaded to the NMLS usually within 24 hours of completion.

Examinations

There is final exam in all courses that must be completed with a passing grade of 75% in-order to receive credit for the course.  The exam may be repeated up to 3 times.

If a passing grade is not achieved after the third attempt the course must be repeated to receive credit.  Each student may repeat the course free of charge one time in a one-year period.

The Final exam will contain only multiple-choice questions.

The Final Exam will cover content percentages in accordance with the current NMLS Content Outline

The Final exam must be completed in one session. 

If an exam session is started and not completed on time or the student does not pass the exam within the allowed time a retake of exam will be required

Retake exams may be taken no more than 3 times.
